What is the Proof IT Contact Centre Platform?

Do we have to port our phone numbers?

No. Published numbers stay with your own carrier and are permanently forwarded onto one platform number per country. Callers dial what they always dialled, and outbound calls present your number as caller ID. Porting is a consolidation decision you can take later — or never.

What do operators need to install?

Nothing. An operator signs in with their corporate account in a browser, puts on a headset and works — on a desk computer or in a phone browser at a branch. The browser is a display, not the system of record: refreshing the page or losing the tab does not end the call.

When does the AI assistant answer calls?

By thresholds you set per group: when more than N callers are waiting, when someone has waited longer than N seconds, and out of hours. It establishes what the caller needs, arranges a callback or holds their place, and hands over to an operator who has already read the transcript. It always says it is an AI, and anyone who asks for a person gets one.

Which languages does it support?

The AI assistant answers in whatever language the caller speaks — no line per language needed. For operators there is language routing (a number per language, a front-door question, or transfer) plus live translation on the line with roughly half a second of delay. The interface is available in English, Latvian, Lithuanian, Estonian and Finnish.

What happens out of hours?

Every call is answered by the assistant and produces a task with a name, a reason and a callback time — nothing to listen to in the morning. Classic voicemail remains available where a recorded message is what you want; the recording lands as a task with its audio attached.

Are WhatsApp and email really included?

Yes. Messages arrive in one shared inbox worked by the same operators against the same customer records, tasks and reports as the telephone. Each inbound message is AI pre-read — classified for topic and urgency and summarised — and straightforward cases become a one-click reply. A person sends every reply.

How does it work with our CRM and existing systems?

Read in at the start, write back at the end: customer, asset and agreement data is read on every contact (and on an identifier spoken mid-call); summaries and updated contact data are written back on operator confirmation. Sign-in follows your corporate directory via single sign-on. The exact field list is agreed during setup.

Is every call recorded and transcribed?

Yes, on the platform rather than the operator's machine — which is why recording and transcript survive transfers, conferences and bridged mobiles. Retention is yours to set: recordings and transcripts expire after the period you choose, and the summary is kept for a longer period of your choosing.

Can it run outbound campaigns?

Yes. AI-led campaigns work from uploaded contact lists inside calling windows, honour an absolute do-not-call list, and classify every call against outcomes you define. A person who asks to be called later becomes a scheduled task automatically. Campaigns share the same numbers, records and reports as inbound.

Where is it hosted and is it GDPR-ready?

In the EU — operated by Proof IT or inside your own infrastructure, by an ISO 27001 and 9001 certified organisation. Consent flags (recording, WhatsApp, marketing, AI handling) are honoured when the platform acts, and AI capabilities run under enterprise terms in which your conversation content is not used to train models.
